2. Services Overview
My Safe Docs Ltd provides a secure online platform for registering, documenting, and proving ownership of tools, machinery, vehicles, and other assets. Our Services support crime prevention and the recovery of stolen property, including controlled access for authorised police forces and, where you choose to enable it, verified insurers and commercial partners. We offer subscription plans tailored to individual, trade, and agricultural users.
3. User Accounts
- Registration: To access certain features, you must create an account by providing accurate and complete information.
- Account Security: You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. Notify us immediately of any unauthorized use.
4. Subscription Plans and Payments
Plans & Pricing
We offer multiple subscription options:
- Home Membership: £4.80 per month Inc VAT or £48.00 per year Inc VAT
- Business Membership: £4.80 per month Plus VAT or £48.00 per year Plus VAT
- Agricultural Membership: £6.00 per month Plus VAT or £60.00 per year Plus VAT
Billing & Payment
- Payments are processed securely via Stripe.
- By subscribing, you authorize us to charge your payment method on a recurring basis corresponding to your selected plan.
Cancellations & Refunds
- You may cancel your subscription at any time through your account settings. Cancellations take effect at the end of the current billing cycle.My Safe Docs Ltd does not offer refunds for any subscription payments, including:
- unused time,
- accidental purchases,
- failure to cancel before renewal,
- or periods where you did not use the service.
It is your responsibility to manage your membership, payment method, and subscription status. Your subscription will continue to renew automatically until you cancel it. We are not able to cancel subscriptions on your behalf.
If you cancel, your membership will remain active until the end of the current paid period, after which access will stop and partner access (where applicable) will cease.
5. Acceptance of Terms & Policies at Checkout.
– When purchasing a subscription, you must accept these Terms and Conditions, along with our [Cookies and Privacy Policy](https://www.mysafedocs.co.uk/cookies-privacy-policy/), which explain how police and, where enabled, insurer or partner access to your registered asset data operates.
– You cannot complete checkout or create an account without ticking the acceptance box.
6. User Responsibilities
- Content Ownership: You retain ownership of the content you upload. By using our Services, you grant us a non-exclusive, worldwide license to store and process your content as necessary to provide the Services.
- Prohibited Content: You agree not to upload content that is illegal, harmful, or infringes on the rights of others.
7. Police and Law Enforcement Access
By registering an asset with My Safe Docs Ltd, you acknowledge that authorised police forces, operating under a signed Information Sharing Agreement with My Safe Docs Ltd, may access relevant asset and incident records on a read-only basis for the purposes of crime prevention, investigation, and recovery of stolen property.
This access is provided free of charge to police forces and operates on a legal basis that is independent of your consent. It cannot be switched off, as set out in our Privacy Policy. Police users cannot modify or delete your records, and all access is authenticated, logged, and auditable.
8. Partner and Commercial Verification Access.
Separately from police access, we may enable limited, read‑only access to selected asset records for verified insurers and commercial partners, such as for insurance claims validation or second‑hand resale checks.
This access operates on the following basis:
- Consent is obtained automatically at checkout when you accept our Terms & Privacy Policy, which explain how insurer and partner access works.
- There is no user‑controlled toggle for enabling or disabling this feature; it is not managed through account settings.
- You may withdraw consent at any time by cancelling your membership, after which partner access will cease.
- Access is provided only to vetted and contracted partners and is strictly limited to the minimum data required.
- All partner access is authenticated, logged, and auditable.
- My Safe Docs Ltd may charge partners for this access; it does not affect your membership fee.
9. Data Security & Disclaimer
We implement industry-standard measures to protect your data, including encryption and secure server storage. However, no system is entirely secure. By using our Services, you acknowledge and accept the inherent risks associated with online data storage, including potential unauthorized access, data breaches, cyber-attacks, and system vulnerabilities.
Additionally, while we strive to maintain a fully functional and secure platform, bugs, errors, or software malfunctions may occur. These issues could temporarily affect access to your files or services. We work diligently to resolve such problems, but we do not guarantee uninterrupted access or that all bugs will be immediately fixed.
Important Notice: We strongly advise only uploading documents that you are comfortable storing online. We do not guarantee absolute security and are not liable for any loss, corruption, or exposure of stored data due to security incidents, system failures, or software bugs.
10. Third-Party Services
We integrate with various third-party services:
- Stripe (Payment Processing)
- Google Site Kit (Analytics & Performance)
These third parties operate under their own terms and privacy policies. We are not responsible for their practices.
11. Limitation of Liability
To the fullest extent permitted by law, My Safe Docs Ltd, its affiliates, and their respective directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of data, arising out of or related to your use of the Services.
12. Modifications to Services & Terms
We reserve the right to modify or discontinue the Services at any time without prior notice. We may also update these Terms periodically. Continued use of the Services constitutes acceptance of the revised Terms.
