You can store the identifying information associated with the livestock holding together with photographs, notes and supporting evidence.

Herd / Flock Mark Record the APHA-issued herd or flock mark used to identify the livestock group.
CPH Number Keep the County Parish Holding number associated with the livestock record.
Species & Breed Group Record information such as Hereford cattle, Texel sheep or a mixed herd.
Approximate Herd / Flock Size Keep a periodically updated approximate number without recording every individual animal.
Purpose Record whether the livestock is kept for breeding, dairy, meat, store animals, mixed purposes or another use.

Police Access

Registered livestock records can be searched through the My Safe Docs Access system.

Authorised police Access users have a dedicated Livestock section within the My Safe Docs Access Dashboard.

They can search registered My Safe Docs livestock records using stored identifying information such as the Herd/Flock Mark, CPH number, species or breed, Safe ID and other relevant recorded details.

If livestock is stolen and the record is marked as stolen, the existing Livestock Safe information can remain connected to the wider Recovery Case and the incident information recorded within My Safe Docs.

It also works with wider My Safe Docs features such as Locations, DNA Marking, Recovery Cases and Condition Reports where applicable.
What does the Livestock Safe record?
The Livestock Safe is designed around a herd or flock rather than requiring every individual animal to be created as a separate record. It can store the Livestock Safe name, Herd/Flock Mark, CPH number, species and breed group, approximate herd or flock size, purpose, photographs, identification notes and other supporting information.
Do I need to enter every individual animal?
No. The Livestock Safe is designed to record the herd or flock and its useful identification information. The approximate herd or flock size can be updated periodically without creating hundreds of individual Safe records.
Can police search livestock records?
Authorised police Access users have a dedicated Livestock section within the My Safe Docs Access Dashboard. They can search registered My Safe Docs livestock records using stored identifying information such as the Herd/Flock Mark, CPH number, Safe ID, species or breed and other relevant recorded information.
What happens if livestock is stolen?
The relevant Livestock Safe record can be marked as stolen and connected to a Recovery Case. This keeps the existing livestock identification information connected to incident details, police information, crime references, insurance information, CCTV evidence and recovery updates recorded within My Safe Docs.
Can I record more than one tractor or machine?
Yes. Relevant Safes can hold multiple individual records, allowing you to build an organised collection of your agricultural assets.
Can I record ATVs and quad bikes?
Yes. Agricultural Membership includes records for supported ATVs and quad bikes, allowing you to keep identifying information, photographs and ownership evidence together.
Can I record GPS equipment?
Yes. Agricultural Membership includes support for recording valuable agricultural GPS and positioning equipment.
Can I record tools as well as machinery?
Yes. The membership includes Tool records as well as specialist agricultural asset types.
Can I record where machinery and equipment are kept?
Supported records can be associated with saved Locations such as farms, yards, barns, workshops, storage buildings or vehicles.
Can I add forensic or DNA marking information?
Supported asset records can include relevant property marking information such as marking status, provider, reference codes and identifying details.
What happens if a tractor, quad or tool is stolen?
Relevant recorded assets can be marked as stolen and connected to a Recovery Case containing incident information, police details, crime references, insurance information, CCTV evidence and recovery updates.
Can I use Condition Reports for agricultural equipment?
Yes. Condition Reports can be useful when machinery, vehicles, tools or equipment are hired, loaned, collected or returned and you want locked Before and After evidence of condition.
Can I combine Agricultural Membership with Home or Trade?
Yes. Multiple memberships can operate under the same My Safe Docs account, allowing you to unlock additional Safe types without creating another account.
Does My Safe Docs replace reporting a theft to the police?
No. My Safe Docs is a record, identification and evidence organisation platform. Theft should still be reported to the police and your insurer where appropriate.
