The Core Of My Safe Docs

A Safe is where your important asset record begins.

Safes are the foundation of My Safe Docs. Each Safe is designed around a particular type of possession, document, vehicle, tool or other important record.

Instead of throwing everything into one generic file store, each Safe gives you relevant fields and organisation for the type of asset you are recording.

The aim is simple: when you need to identify, prove, report or recover something, the useful information should already be organised.

What Is A Safe?

A purpose-built record area for a specific type of asset.

A Safe is the part of My Safe Docs where you create and manage records for a particular category of possession or information.

A Tool Safe is built around tools. A Vehicle Safe can capture vehicle information. A Document Safe is designed around documents. The fields change because the things you need to record change.

Choose the Safe that matches what you want to record.
Complete fields relevant to that particular asset type.
Add photographs, files and identifying information.
Keep individual asset records organised inside the Safe.
Return later to update supported records as things change.
Why Different Safe Types?

A drill and a vehicle should not use the same form.

Different assets have different identifying information. My Safe Docs uses different Safe types so the record can ask for information that actually matters to that asset.

This makes the resulting record far more useful than a generic title, description and upload box.

Tool Record Make, model, serial number, purchase details, photographs and marking information.
Vehicle Record Registration, VIN, make, model, photographs, documents and other vehicle information.
Document Record Document type, uploaded file, dates, notes and supporting information.
Item Record Photographs, ownership details, receipts, identifying marks and supporting files.

More Than The Safe Itself

Your Safe records connect to the wider My Safe Docs system.

The asset record is only one part of the picture. My Safe Docs also lets you organise where assets are kept, how they are marked, what happens if they are stolen, and condition evidence where required.

Locations

Associate supported records with homes, workshops, vehicles, storage areas and other important places.

DNA Marking

Safes & Locations

Record the asset, then record where it belongs.

Supported records can be associated with Locations inside My Safe Docs.

This can help show that a tool belongs in a workshop, an equipment case is normally stored in a van, or a valuable item is kept at a particular property.

When Something Is Stolen

The Safe record becomes useful long before the Recovery Case begins.

The best time to record serial numbers, photographs and identifying information is while the asset is still in front of you.

If something is later stolen, the existing record can be marked appropriately and linked into a Recovery Case alongside incident details, police information, insurance details and CCTV evidence.

01
Create the Safe record Add identifying information while the asset is available.
02
Add ownership evidence Photographs, receipts, serial numbers and files.
03
Mark the item as stolen Identify the affected record after an incident.
04
Link it to the Recovery Case Keep the existing asset information connected to the incident.
Why Build Your Safes Now?

The useful details are easiest to record before you need them.

Serial numbers are available

Record them while the label or product is still in front of you.

Photographs can be taken properly

Capture clear images before an item disappears, is damaged or changes hands.

Receipts can be attached

Keep purchase evidence with the asset instead of searching for it years later.

Everything stays connected

Asset, Location, DNA information and recovery records can form part of the same wider system.

Safes FAQs

Common questions about My Safe Docs Safes.

What is a Safe in My Safe Docs?
A Safe is a structured area used to create and manage records for a particular type of asset, such as tools, vehicles, documents, items or other supported records.
Why are there different types of Safe?
Different assets need different identifying information. A vehicle may need registration and VIN information, while a tool may need make, model and serial number details. Each Safe is designed around the type of record it stores.
Which Safes can I access?
The Safes available to you depend on the active My Safe Docs membership or memberships associated with your account.
Can I have more than one membership?
Yes. Multiple memberships can operate under the same account, allowing you to combine the Safe types available through Home, Trade, Student and Agricultural Membership where required.
Can I add more than one item to a Safe?
Yes. A Safe is designed to hold multiple individual records of the relevant type, allowing you to build an organised collection of assets.
What information should I add to an asset?
Add as much useful identifying information as reasonably possible, including clear photographs, make and model, serial or identification numbers, purchase details, receipts, identifying marks, property marking information and supporting files where relevant.
Can I update a Safe record later?
Normal Safe records can be updated where the system provides editing controls, allowing you to keep information current as details change.
Can I record where an item is stored?
Supported items can be associated with saved Locations, helping you record where possessions are normally kept.
Can I add DNA or forensic marking information?
Supported asset records can include relevant property marking information such as marking status, provider, reference codes and identifying details.
What happens if an item is stolen?
Relevant records can be marked as stolen and connected to a Recovery Case, helping keep the item's existing identifying information together with police details, incident information, CCTV evidence and recovery updates.
Are Safes just folders for uploading files?
No. Safes are structured records designed around different asset types. Files and photographs form part of the record, but the system also stores relevant identifying, ownership and supporting information.
